Community Partner Guide
The Cottonwood School is dedicated to enhancing student learning experiences through a carefully vetted selection of Community Partners. Please check the Community Partners Catalog below to search for a specific partner or offering.
- Approved – These Community Partners are available in Procurify.
- In Progress – This means that we are awaiting legally required renewal paperwork. Keep in mind, “In Progress” does not guarantee they will be added; it is up to the Community Partner to turn in their required paperwork.
If a vendor is contacting you, email is the preferred method and the most effective way to help the vendor. Please ask them to email business.services@cottonwoodk12.org.
Becoming a Community Partner
Before vendors can begin the process of becoming a Community Partner, the Curriculum, Instruction, and Business Departments work together to evaluate the school’s needs and the suitability of the vendor and their offerings for our students. Any additional Community Partner requests are thoughtfully evaluated based on our current offerings and our students’ instructional needs. Potential vendors need to be referred by staff internally. If the school determines the need for the vendor, the vendor will be asked to:

Complete background clearance

Submit proof of business

Provide insurance

Set up their ordering catalog (class listing information)
Renewal
Annually, vendors must:

Close out all purchase orders

Submit updated W-9

Provide current proof of business

Provide current proof of insurance

Maintain background clearances

Confirm catalog info (class listing information)
The Full Process
1. Vendor submits required documents.
2. Business Services reviews documents and information and approves.
3. Vendor is listed in the catalog.
4. Families request services, HST approves, Purchasing sends voucher.
5. Vendor invoices after service.
6. Renewal is completed yearly with updated documents.
